Subscription · Billing · Tokens

TFlow's paid features are accessed through a subscription (plan + license quantity), and AI features run on tokens. Both are managed from the My Subscription tab of the My Organization screen, and recurring billing is processed through PayVerse integrated payments.

💡 Who is this for? Anyone who needs to top up when AI usage (tokens) runs low, anyone who needs to pull a receipt for accounting, and the company Master who sets the subscription plan or scales licenses up and down to match the team size. Payments, plan changes, cancellations, refunds, and auto-charge settings can only be done by a company Master; other members can only view the subscription.

ℹ️ Visibility conditions — The My Subscription tab and token charge entry points in this document are only visible where billing is already open. Where billing has not yet been enabled, the My Subscription item in the profile menu, the My Subscription tab on the My Organization screen and the header token charge button are hidden.

Subscription, billing, and AI tokens overview

1. Opening the My Subscription tab — My Organization › My Subscription

How to get there: Top-right profile menu → My SubscriptionVisibility conditions → the My Subscription tab of the My Organization screen opens (tflowx.com/my/organization?tab=subscription). You can also click the My Subscription tab on the My Organization screen directly. The old address /my/subscription leads to this tab. ✨ UPDATED (2026-10)

Inside the My Subscription tab there are four sub-tabs. Hovering over My Subscription in the profile menu unfolds shortcuts to the Plan · Billing · Token Usage sub-tabs.

Sub-tabContents
Home (Plan)My subscription status + plan selection + license quantity adjustment + auto-charge
BillingPast recurring charges, statuses, and receipts
Token UsageAI token consumption history
External APIManage keys (PAT) for connecting external AI chatbots

There are also derived screens for the receipt (/my/subscription/receipt/:id) and payment completion (/my/subscription/thanks). Assigning licenses to members is done on the same screen's Department tab › License view. → License

2. Home tab — subscription status and plan

2-1. My subscription card

Shows your current subscription status in a single card.

ItemDescription
Plan nameThe plan you are currently on
License countNumber of licenses the company holds
Maximum usersUpper limit of people covered by the licenses
Current membersNumber of people currently in the organization
PayerThe account responsible for billing
Next billing date / service end dateThe scheduled recurring renewal date, or the last usable day after cancellation
  • The next billing info shows the upcoming billing date along with the license count that will be billed next cycle. If you have a scheduled license reduction, it is shown as "current count → reduced count" with a warning notice and a Cancel scheduled change button — you can undo the scheduled reduction any time before its effective date.
  • During a free trial, the trial end date is shown instead of the next billing date. → 2-4. Free trial
  • If the operations team granted complimentary access, the card shows the complimentary access end date, and the free card button reads "Complimentary access · N days left". ✨ NEW (2026-10)
  • Members who are not a company Master see a "view only" notice above the card, and the pay, change, cancel, and refund buttons are disabled. ✨ NEW (2026-10)

2-2. Selecting a plan · adjusting license quantity

Set the number of licenses with the quantity stepper below the plan card. Comparing the stepper value against your current subscription, the button label changes automatically.

SituationButton label
Starting fresh with no subscriptionPay
Increasing the license count above the currentAdd Licenses
Decreasing the license count below the currentReduce Licenses
Same as the current plan and quantityCurrent Plan (disabled)
Switching to a different planChange Plan

⚠️ Minimum license guard — The license count cannot be reduced below the minimum needed to cover your current members (current members ÷ users per license). To reduce further, you must first clean up member assignments. → License

⚠️ Set up your organization first ✨ NEW (2026-08) — Subscriptions are managed per organization, so you cannot proceed to payment until you belong to one. In that case the Home tab shows a "Set up your organization before subscribing" notice and the Pay buttons on the plan cards are disabled. Use the Set up organization button in the notice (tflowx.com/my/organization) to create one, then try again.

The free trial likewise requires an organization: only the company Master of an organization can start it, because trial tokens and history go into the company's shared pool. ✨ UPDATED (2026-10)

2-3. Change confirmation flow

Pressing the button does not charge you immediately; it proceeds in the order preview → confirmation modal.

  1. Change preview: Calculates and shows today's charge, today's refund, and the next billing amount (there is no cancellation fee).
  2. Change confirmation modal: Shows the amounts above, and — when reducing licenses or downgrading to a cheaper plan / shorter cycle — the scheduled effective date. ✨ UPDATED (2026-10)
  3. Apply: Pressing Confirm applies the change.
  • Depending on the situation, the bottom of the card displays Cancel / Resubscribe / Refund buttons.

🖼️ Screen capture Plan change confirmation modal — especially the "scheduled reduction" notice when reducing licenses + amount breakdown (today's charge / today's refund / next billing) 📍 tflowx.com/my/organization?tab=subscription · save location images/common/subscription-change-confirm.png

2-4. Free trial (Free Plan)

If your company has no subscription or trial history yet, the home tab displays a "Start your N-day free trial" banner (currently 3 days).

  • Starting: Pressing the banner button starts the trial immediately, without registering a payment method (card), and automatically assigns one license seat to the person who started it. The trial is once per company, so only a company Master who belongs to an organization can start it. Without an organization, the plan cards show a "register your company first" notice. ✨ UPDATED (2026-10)
  • Eligibility: The banner appears only when all of the following hold — ① you have no subscription or trial history, ② no member of your company has ever used a trial, and ③ the company has no active paid subscription. If any condition fails, the banner is not shown.
  • While on trial: The my subscription card shows the trial end date. The auto-charge and cancel buttons are paid-subscription-only, so they are hidden during the trial.
  • Upgrading: Even mid-trial, paying for a plan from the plan cards converts you to a paid subscription immediately, and the running trial ends automatically.

ℹ️ New accounts are no longer issued a license automatically. Until you start a free trial or pay for a subscription, usage is mostly view-only. → License

3. Recurring billing — registering a payment method

If your subscription stopped because a payment failed — you saw "Your subscription is past due. Please update your payment method to continue." or a notice that the payment method is inactive. Go to My Organization › My Subscription tab › Home, register your card again or switch to a different card, and the subscription is restored right away.

Register your first payment and the automatic payment method (saved card) in one step.

  1. Pressing the payment button opens a payment summary modal.
  2. Pressing Pay by card opens the PayVerse payment window. KRW payments open a domestic-card window and USD payments open the international-card window. ✨ UPDATED (2026-08)
  3. Here the first payment and the payment-method registration happen simultaneously. From then on, recurring billing and token charging are handled automatically with the saved card.
  4. On success, you are taken to the payment completion screen (/my/subscription/thanks).

ℹ️ Closing the payment window with X is not treated as an error — you simply get a notice and the payment modal stays open, so you can try again straight away. ✨ ⚠️ To move to a plan in a different currency (KRW ↔ USD), you must cancel your current subscription and resubscribe.

ℹ️ When payment completes, one license seat is automatically assigned to the payer, so you can use editing features right away. Assign the remaining seats to teammates in the License view of the My Organization › Department tab. → License

3-1. Payment failure guidance

A different message is shown for each failure cause.

TypeMeaning · action
Security alertBlocked by the card issuer's security policy — check with the issuer and retry
Configuration errorPayment configuration issue — try again shortly or ask your company Master
Card declinedLimit or validity issue — retry with a different card
DelayProcessing delay — check the status in billing history shortly

🖼️ Screen capture The payment summary modal just before PayVerse payment — plan, quantity, amount + Pay by card 📍 tflowx.com/my/organization?tab=subscription · save location images/common/payverse-summary.png

3-2. Automatic renewal and what happens if a payment fails ✨ NEW (2026-10)

Recurring payments are charged to your registered card on the next billing date itself (just after midnight, Korea time). We never charge before the billing date.

WhenIf the payment fails
Billing dateIn-app notification + email — we retry automatically the next day
1 day afterIn-app notification + email — notice that the next day is the final attempt
2 days afterIf the final attempt also fails, the subscription is suspended and a suspension email is sent
  • You can keep using the service during the retry period. Checking your card's limit and expiry date lets the next attempt go through.
  • Even if a retry succeeds, your billing cycle stays anchored to the original billing date (e.g. if the October 4 payment succeeds on October 5, the next billing date is still November 4).
  • After a suspension, re-registering a card and paying restores the subscription right away.

4. Billing tab — billing history

View past recurring charges in a table.

  • Table columns: Date · Plan · Unit price · License count · Total · Period · Status · Reason · Receipt
  • Receipt: The receipt button is enabled only for entries with status Payment complete; pressing it opens the receipt (/my/subscription/receipt/:id) in a new tab.

ℹ️ The receipt shows the plan name, service period, amount paid, transaction number, and status based on actual billing data. You can use it as-is as accounting documentation.

5. AI tokens — balance · charging · auto-charge

If you were told your token balance ran out — click the lightning (⚡) balance widget at the top and pick a token pack in the token charge modal; the balance is restored immediately. If it happened mid-chat, the charge modal opens on its own.

TFlow's AI features (Lyra chatbot, CYGNUS/LEO analysis, and so on) run on tokens, which are deducted automatically as you use them.

✨ Tokens are shared by the company (2026-10) — the balance belongs to your company's shared pool, not to you. Whoever in the company uses AI draws from the same pool, and grants and top-ups go into it. An account that is not yet an (approved) member of any company has no tokens and cannot use AI features — create a company or get your membership approved.

Grant rules — a company with a paid subscription (including admin-granted plans) receives 1,000,000 tokens per license every day (valid until midnight) and 10,000,000 tokens per license every billing cycle (monthly even on the yearly plan, valid for one year). Grants are added automatically the first time someone views the balance or uses an AI feature that day. The free trial gives 3,000,000 tokens once; whatever is left disappears when the trial ends or you switch to a paid plan. If you run short mid-task the balance can go negative, and the next grant pays that debt first.

5-1. Header token balance widget

The lightning (⚡) icon + balance in the top navigation bar shows your current tokens.

  • Where billing is open, clicking the widget opens the token charge modal.Visibility conditions
  • The balance indicates its status by color (normal / caution / warning).
  • Hover over the widget to see the company pool broken down by source (daily grant · monthly grant · purchases · compensation · debt, etc. — zero items are hidden). The daily grant expires at midnight (Korea time) the same day. ✨ NEW (2026-10)

5-2. Token charge modal

Top-ups are charged to the company card and go into the company pool. The modal looks different depending on who opens it. ✨ UPDATED (2026-10)

  • Company master: ① choose a token pack (larger packs carry a discount badge); ② it is charged to the card of the company's paid subscription; ③ if that card can't be charged right now, the reason shows as soon as the modal opens and the Charge button is disabled — resubscribe if the subscription was canceled, start a paid subscription if there is none (a trial has no card), and a KRW (domestic card) subscription can't buy token packs (USD) yet. ✨ UPDATED (2026-10)
  • The Top up button at the top of the auto-recharge box on the My Subscription tab opens the same modal. If a member sent a top-up request, that row shows who · when · the balance then, and it disappears once the pool is topped up (manually or automatically). Clicking the top-up request notification opens this modal directly. ✨ NEW (2026-10)
  • Regular member: by default you cannot top up yourself; you see an Ask the master to top up button. It sends the company master an in-app notification and an email (once per hour per company). If a request is already pending (including one sent by another member), the modal shows who asked how many minutes ago and when you can send another, and the button is disabled. If company auto-recharge is on, a note says the pool tops up automatically when it runs low.
  • If the master has turned on Allow members to top up (5-3), members can buy packs themselves — charged to the company card, within the auto-charge daily limit.

ℹ️ If your tokens run out during a chatbot conversation, this charge modal opens automatically.

5-3. Auto-charge toggle

So you don't have to top up every time your balance runs low, you can turn on auto-charge.

  • Location: bottom of the my subscription card (shown only when there is an active subscription)
  • On/off + daily limit ($) setting — it charges the company card, so only a company Master can change it.
  • Example policy wording: "When the balance drops below X, automatically charge Y tokens ($Z)." — the threshold applies to the company pool balance.
  • When the daily limit is reached, no more automatic top-ups happen and the master is notified (once a day). Top up manually or raise the limit. ✨ NEW (2026-10)
  • The Allow members to top up toggle in the same card ✨ NEW (2026-10) — when on, approved members who are not masters can buy token packs in the charge modal (company card, counted toward the auto-charge daily limit). Off by default.

5-4. Company usage (master) ✨ NEW (2026-10)

At the top of the Token Usage tab, company Masters see a Company pool usage section — the selected month's usage by member (with department) and the grant / top-up / revocation history (daily grants, monthly grants, purchases, auto-charge, compensation, revocations). Members see only their own usage.

🖼️ Screen capture Header token balance widget + token charge modal (token packs, discount badge) + auto-charge toggle 📍 tflowx.com/my/organization?tab=subscription · save location images/common/token-charge.png

ℹ️ Daily base tokens ✨ UPDATED (2026-10) — Daily tokens go into the company pool, 1,000,000 per license (the monthly grant is 10,000,000 per license), not to individuals. Adding licenses increases the grant from that day; reducing them takes effect from the next billing date. There are no separate personal grants.

6. External API tab — API keys (PAT)

Manage personal access tokens (PATs) used to access TFlow data from external AI chatbots such as Claude Desktop and ChatGPT.

  • Issue: Pressing Issue API key generates a key in the form pat_tflow_....
  • Storage caution: The issued key is shown only once. Be sure to copy it somewhere safe.
  • Validity: 90 days by default; reissue is required after expiration.
  • Reissue: Pressing Reissue immediately revokes the existing key and issues a new one.
  • Copy Claude Desktop configuration: With one button, you can copy the JSON configuration for Claude Desktop to your clipboard.

💡 For how to set up external integrations, see the MCP integration guide.

7. Refund policy

SituationHandling
Within 7 days of payment + completely unusedRefund — the payment amount less the payment-processing fee (3%); once per company per year ✨ UPDATED (2026-10)
Other exits (cancellation)No refund — recurring billing stops only; you can keep using the service until the expiration date
Reducing license quantity (keeping at least 1)Not an immediate refund; instead, a scheduled reduction from the next billing date (no refund)
Plan downgrade (yearly → monthly, or a cheaper plan on the same cycle)Not an immediate refund; the change is scheduled from the next billing date (no refund, no fee). You keep the current plan until then ✨ NEW (2026-10)
  • When you reduce licenses, the confirmation modal shows the scheduled reduction notice and its effective date, along with the today's charge / today's refund / next billing amounts.
  • In other words, the reduced portion is used through the current cycle and the fee decreases from the next cycle.
  • If you change your mind after scheduling a reduction or plan change, you can undo it before the effective date with Cancel schedule in the next billing info on the my subscription card.
  • Upgrades (monthly → yearly, or a more expensive plan) still apply immediately — the new plan is charged and the remaining period of the previous plan is refunded pro rata (no fee).

⚠️ The "within 7 days + completely unused" refund is a safety net for mistakes or changes of mind right after payment. If you have used any paid features at all, it is handled as a stop of recurring billing (use until expiration) instead of a cash refund. The payment-processing fee already paid to the payment provider (3% of the payment) is deducted from the refund, and this refund is available once per company per year. The same terms are shown in the refund dialog and on the payment screen.

💡 Troubleshooting (FAQ)

Opening the tab and payment methods

Q. There is no "My Subscription" in the profile menu, and no My Subscription tab on the My Organization screen. A. Where billing is not yet open, the My Subscription item and tab and the token charge entry points are hidden.Visibility conditions If you still can't see it, ask your company Master. The former sidebar Subscription menu is gone; the My Organization › My Subscription tab took its place (2026-10).

Q. I'm trying to charge tokens but it says I can't top up right now. A. Tokens are charged to the card of the company's paid subscription (there is no screen to register a card on its own). If the subscription was canceled, resubscribe and you can top up right away; during a trial or without a paid subscription, start a paid subscription and its card will be used. A KRW (domestic card) subscription can't buy token packs (USD) yet.

Q. I reduced my licenses, but the fee is unchanged. A. Reducing licenses is not an immediate refund; it is a scheduled reduction from the next billing date. You are billed for the existing quantity through the current cycle, and the reduced amount is billed from the next cycle. To undo the schedule, press Cancel scheduled change on the my subscription card before the effective date.

Free trial and the Pay button

Q. I don't see the free trial banner. A. The free trial can only be started when neither you nor your company has any subscription or trial history. If a member of your company has already used a trial, or the company has an active paid subscription, the banner is not shown. → 2-4. Free trial

Q. The Pay button is disabled and I cannot click it. ✨ UPDATED (2026-10) A. You cannot proceed to payment until you belong to an organization. Use the Set up organization button in the notice at the top of the Home tab to create one at /my/organization. Refresh the screen after registering and the Pay button becomes active. A pending join request (not yet approved) also counts as not belonging to an organization yet.

Even within an organization, the pay, change, cancel, and refund buttons are disabled unless you are a company Master. Ask a Master to proceed, or ask to be given the Master role.

Licenses, receipts, and expiry

Q. I want to reduce the license count further, but the button is blocked. A. You cannot reduce below the minimum that covers your current members. Clean up member assignments first in Organization license assignment, then reduce again.

Q. The receipt button is disabled. A. Receipts are issued only for payments with status Payment complete. They are not enabled for failed or pending statuses.

Q. Does my data disappear when the subscription expires? A. No. Access is not fully blocked, and account and project data are retained as read-only. Note, however, that daily base tokens are granted only to users who hold a license.
